An invoice records what you asked a customer to pay. It does not show that the money arrived. Payment tracking connects the original invoice with the amount received, the remaining balance, and the due date.
InvCreate can notify you when an invoice is overdue so you remember to contact the customer. You remain in control of the client communication instead of an automatic message being sent without your review.
Keep the outstanding balance visible
Record payments against the invoice, see what remains unpaid, and receive a reminder when follow-up is due.

- Unpaid: no payment has been recorded.
- Partially paid: some money has arrived and a balance remains.
- Paid: the complete invoice amount has been recorded as received.
- Overdue: the due date has passed while an unpaid balance remains.
For example, if a customer pays 750 EUR toward a 2,000 EUR invoice, record the payment and use the remaining balance of 1,250 EUR in any follow-up. Do not ask for the original total again.
Review outstanding invoices every week
Use a simple routine:
- check for payments received since the previous review;
- record each payment against the correct invoice;
- identify invoices due soon and invoices already overdue;
- confirm that the customer received the document and has everything required to process it;
- send a reminder when action is needed.
A reminder schedule should fit the customer relationship and the agreed terms. It is not a universal legal collection process.
Make the reminder easy to act on
Include the invoice number, outstanding balance, original due date, payment instructions, and a way to report a problem.
Subject: Invoice INV-2041 — 1,250 EUR outstanding
Hello Maya, our records show a remaining balance of 1,250 EUR on invoice INV-2041, due 9 October. I have attached the invoice again for convenience. Please let me know if payment has already been sent or if your team needs any additional information to process it. Thank you.
Keep the message factual. Before sending it, check for a recent payment, credit, delivery problem, or billing dispute.
Do not confuse invoiced amounts with collected money
These figures answer different questions:
- Invoiced: the value of invoices issued in the selected period.
- Collected: the payments recorded in the selected period.
- Outstanding: the balance still attached to unpaid or partially paid invoices.
- Overdue: the outstanding balance whose due date has passed.
A month with high invoiced value and lower collections may reflect normal payment terms, overdue invoices, or payments that have not been recorded yet. The summary identifies where to look; the underlying invoices explain what happened.
When invoices use different currencies, retain the original currency on each record. Treat a converted overview as an analytical view rather than a replacement for the source invoice.
Know what was billed and what was actually collected
Keep payments connected to their invoices and make overdue follow-up part of your normal workflow.
